PACIFIC ASSOCIATION/USATF BOARD OF ATHLETICS MEETING MINUTES May 17, 2005; Heather Farms Garden Center, 1540 Marchbanks Dr., Walnut Creek. POINT OF ORDER Charles DesJardins did not receive the notice of the date change of the March meeting and hence did not attend. It was established that the email was sent to him but for an unknown reason he did not receive it. It appears that there is a problem with him not receiving emails from the PA office. MINUTES of March 9, 2005 meeting - Unanimously approved with two corrections - 1) Bob Bowman was NOT present at the March 9 meeting; 2) the nomination of Deborah Sample for Vice president was seconded (not nominated) by Lloyd Stevenson. Deborah Sample was nominated by Joanne Slaton-Camargo. OFFICER NOMINATIONS/ELECTIONS - Ballots called for - Debra Sample was elected Vice President by a vote of 11 to 8. - Unanimously approved to destroy the ballots. - Note: President (Jerry Colman), Treasurer (Tyler Abbott) and Secretary (Cynci Calvin) were unanimously approved by acclamation at the May 17 meeting. TREASURER'S REPORT - Budget is ahead of scheduled budget primarily thanks to Bay To Breakers sanction - Treasurer's report approved unanimously. 2005-2007 NCAA DIVISION I T&F CHAMPIONSHIPS Good to go. 2005 GOLDEN WEST - Could possibly have just an evening meet although late day meet entries could change this. - Could need $5,000 additional money for athletes travel expenses; the PA Executive Board recommends allocation of this money. - Unanimously approved to allocate up to additional $5,000 to assist athletes with travel funds. 2007 JUNIOR OLYMPIC T&F CHAMPIONSHIPS (July) - Bid packets not ready - must be completed by 7/01/05 - UC Davis is another possible venue (along with CSUS and Sacramento City College. - Will work on packet the second 2-weeks of June. - Site visit will be in the Fall. 2008 OLYMPIC T&F TRIALS - Waiting to see if NYC gets on the "short list" for the 2012 Olympics (July 5) - Also waiting to see how the Carson meet (SoCal) goes. - Will be awardeds sometime in the Fall. 2005 SERVICE AND LIFETIME AWARDS - Bob Bowman awarded the Tom Moore Award for Lifetime Achievement and Service within the Pacific Association. RULES CHANGE - Unanimously approved: "If a vacancy occurs for any officer position, that position shall be filled by appointment by the most senior officer (President, Vice President, Treasurer, Secretary) with the approval of the Board of Directors. If a vacancy occurs for the Immediate Past President position, the previous Immediate Past President shall fill that position." - Need to notify the National office. NEW BUSINESS: FUTURE MEETINGS - Strategic Planning: August 7 - Budget: August 17 - Board of Athletics: September 21 COMMITTEE REPORTS - Youth, Joanne-Slaton Camargo - Unanimously approved (as recommended by the Executive Board) to have a new Finish Lynx camera bought for the Youth Committee by using $4,000 from the Youth Reserve and $4,000 from the General Fund. Need to add the additional $4,000 to the 2005 budget. Sunday, June 5 is the Youth sub-Bantam meet at Pinole. Need 2 people to collect fees June 25/26 at the PA Champs. - Membership, Irene Herman - submitted writeen report. - Officials, Irene Herman - plans to submit a grant proposal for the USATF 2006 grant program to encourage people to become officials: "Step up to the Plate - Officiate!" - Officials, Dick Connors - Officials annual awards meeting has moved to Davis; 60% of officials have been recertified. - Communications Committee, Cynci Calvin - Maura Kent introduced. She is the Youth Communications Committee rep who is also willing to help with improving the web site. She and her husband are the coaches for the new Roseville Express Track Club. - Equipment, Dan Davidson - accutrak is becoming archaic. Can be donated to a middle or High School. Need to have everyone give Dan input on likely candidates; PA members have preference. - LDR - Tyler Abbott: Peter Gilmore and Jill Boaz both selected to be on the US Team at the IAAF World Championship Marathon . Megan Daly elected to be on the Ekiden Team due to her performance at the XC Nationals.
